Veterans Global Consulting is seeking a dependable and detail-oriented Medical Records Specialist with a strong understanding of medical terminology and medical record management. This role is essential to maintaining accurate, secure, and well-organized medical documentation for our clients. The ideal candidate is highly organized, patient, confident guiding clients through online systems, and able to maintain strict confidentiality. This position requires being on camera via Zoom for the entire shift.Key ResponsibilitiesClient Support & Account Assistance• Assist clients with creating and navigating VA.gov accounts• Assist clients with creating and verifying MyHealthyVet accounts• Guide clients through downloading medical records via Blue Button• Provide patient, step-by-step instructions and supportMedical Records & Document Management• Assist in organizing, labeling, and filing medical documents, reports, and correspondence• Upload, rename, and categorize client medical records using internal standards• Maintain updated logs of incoming and outgoing medical records• Track pending client documentation and ensure timely follow-up• Support audits and quality assurance processes related to medical records• Ensure accurate interpretation of clinical documentation using strong medical terminology knowledgeFollow-Up With Outside Providers• Request medical records from external providers upon client request• Track the progress of each record request• Follow up with the client until outside-provider records are received• Maintain communication with providers until documentation is obtained• Notify supervisors of pending, missing, or urgent itemsAdministrative & Internal Communication• Record all actions in call logs and tracking sheets• Maintain accurate record tracking using Google Sheets (required)• Communicate promptly with supervisors about delays, missing documents, and urgent needs• Support internal workflows with consistent follow-throughQualifications• Solid understanding of medical terminology• Experience in medical record management, medical office administration, or health information• Strong organizational skills and meticulous attention to detail• Ability to manage large volumes of records accurately and efficiently• Effective communication skills for collaborating with clients and team members• Able to work independently while maintaining high accuracy and confidentiality• Must be comfortable on Zoom with camera on for the entire shift• Proficient in Google Sheets• Must have a reliable computer, webcam, secure internet connection, and confidential workspace• Must maintain HIPAA-compliant confidentiality at all timesContract Details• Part-time, Monday–Thursday (9 am - 6 pm EST)• Independent contractor (1099)• Remote position• Compensation: $18–$20/hr based on experienceIdeal Candidate Traits• Extremely detail-oriented and organized• Strong follow-through and dependability• Patient, professional communicator• Comfortable guiding clients through online systems• High level of integrity, responsibility, and confidentialityRole ImpactThis position plays a vital role in ensuring the integrity of client data and supporting the delivery of exceptional services.Your accuracy and commitment directly support the quality of care and outcomes for the veterans we serve.
