Job SummaryProvide office, student, staff and faculty support for the Division of Visual Art & Design through secretarial duties and the facilities maintenance of dedicated art and design rooms, labs, equipment and materials, etc.Essential Duties & Responsibilities & Knowledge Skills & AbilitiesUnder minimal supervision, perform duties including but not limited to:Answering Division phone callsMaintaining a physical presence on campus when requiredDirecting and assisting walk-in trafficFielding student, staff and faculty inquiriesCommunicating effectively through oral and written communicationCreating and maintaining various documents and recordsAssisting with bookkeeping and accounting records/reportsAssisting with personnel training initiatives and related recordsTracking and ordering textbook inventoriesFacilitating student registration exceptionsManaging and arranging display cases of student artworkDisplaying announcements and advertisements for upcoming eventAssisting with the annual student art showcase and other eventsTaking meeting minutesFiling Division documents, both electronically and physicalSafeguarding confidential informationAssisting with inventory of computers and office equipmentHandling and distributing mailUpdating and maintaining Division documentsMaintaining/straightening assigned art classrooms/labsReporting general Visual Art & Design facility problemsPerforming simple equipment and furniture repairs/replacementsPerforming other duties as needed and assignedAbility to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the CollegeAbility to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilitiesMinimum qualificationsHigh school diploma or equivalent.Preferred QualificationsSome college. Work experience in a College/University environment and/or some scholastic experience. 1 years experience working in an office and/or customer service setting.
