This position is currently located in Sylmar, California, and will relocate to Santa Clarita in the third quarter of 2023.We do not provide remote or hybrid employment. Position Overview:The Risk Management Compliance Coordinator is responsible for ensuring the smooth operation of the office and administrative support functions, as well as providing general administrative support to the Risk Management Director, RM GL, and WC Managers in all the different areas of the office administration for both functions. The Risk Management Compliance Coordinator provides high-quality and timely support to the Risk Management Department in areas determined by the Director of Risk Management to provide necessary Administrative Assistance in all areas of Risk Management, including but not limited to safety supplies, the Gleason Inspection process, and CUPA and CERS administration.General Duties andResponsibilities:• Responsible for support administration Gleason Sweep Sheet Program. • Ensure update and maintenance of accurate and up-to-date store inspection maps. • Responsible for providing replacement ibutton and programming before issuing replacement ibuttons to stores. • Responsible for conducting weekly performance conference calls with stores. • In conjunction with Operations and DMs, determine maps and location of ibuttons based on the route’s risk or exposure. • Responsible for managing and supporting the administration of the Shoes for Crews Program.• Ensure accurate ordering, inventory, and allocation for Vallarta’s safety shoes program. • Ensuring adherence to the program’s ordering policy. • Liaison between store, SFC, and Payroll Department in matters related to deductions, exchanges, defective products, or other administrative aspects of the SFC program. • Responsible for the administration of the stores’ safety supplies program. • Fulfillment of safety supplies orders for stores as needed. • Working closely with vendors and VWT to ensure par levels, substitution, or new items are sourced timely and accurately to supply our stores.• Maintaining running inventory of safety supplies. • Producing invoices for allocation of expenses to respective stores. • Keeping track (spreadsheet) of safety supplies expenditure. • Responsible for support administration of CERS, CUPA updating in respective web portals, and Gleason Sweep Inspections Program. • Assist with Risk Management communications (meeting agendas, mailings, meeting support). • Responsible for incoming and outgoing mail, shipping, and receiving related to GL or WC. • Responsible for maintaining and producing ad-hoc reporting for GL and WC.• Other responsibilities as assigned by management (WC & GL). Knowledge and Skills:• Knowledge of Microsoft Outlook, Word, and Excel preferred. • Being able to multi-task is a must. • Proactive, helpful, professional, can-do attitude. • Flexibility to adjust to a very dynamic work environment. • Good reading, writing, and listening skills. • Must possess outstanding follow-up skills - able to take on a project from beginning to end. • Neat, organized, able to work independently and interdependently, and welcoming to internal customers (stores).• Computer literate including spreadsheets, word processing, e-mail, and web. • Able to adjust work schedule as operationally needed with Risk Management. Required Education andExperience:• High School diploma or college AA/BA preferred. • Five years minimum administrative experience. Physical Demands:• Some travel 30% of the time on average. • Combination of working within the stores and corporate office. Position Type/Expected Hours of Work:This is a non-exempt Level Position, Monday – Friday, 8:00 am-5:00 pm; the schedule would be based on a business necessity and coordinated through the reporting supervisor.This job description is not intended to be all-inclusive, and employees may perform other duties as directed.
