Role Overview:BrainsWay is seeking a highly organized and proactive U.S.-based Administrator to support alloperational activities across Sales and Marketing purchasing, HR, and Compliance. This role ensures smooth day-to-day operations, oversee purchasing and vendor management, handles state regulatory filings, and supervises employee timekeeping processes.The ideal candidate is a responsible self-starter with strong communication and administrative skills, capable of coordinating multiple functions across teams. Key Responsibilities:Purchasing & Vendor Management• Collect and compare price proposals; conduct basic cost analysis. • Manage supplier relationships and negotiate pricing, terms, and service levels. • Ensure all purchases follow company payment policies (NET-30/60, minimal prepayments). • Create and track purchase orders in the Priority ERP system.State Compliance & Legal Filings• Manage all U.S. state registrations, renewals, annual reports, and compliance submissions. • Maintain good standing in all states where BrainsWay operates. • Liaise with state agencies and external advisors; maintain organized compliance records. Employee Timecards, PTO Oversight & HR Administration (Employee Lifecycle)• Review U.S. employee timecards and ensure timely, accurate submissions. • Track and verify PTO balances, accruals, and approvals. • Coordinate with HR and payroll to resolve discrepancies.• Track onboarding and offboarding processes, including equipment and system access. Coordinate employee engagement activities, gifts, and events. • Oversee training, maintain records, and align with managers. • Maintain HR/ERP documentation and approvals. General Administrative Support• Serve as the point of contact for U.S. operational matters. • Support Sales and Marketing logistics, vendor onboarding, and documentation. • Assist with internal coordination between U.S. teams and Israel-based management.Requirements:• 3+ years in administration, operations, or related fields. • Strong organizational skills, attention to detail, and ability to multitask. • Experience with ERP systems and HR processes is a plus. • Excellent communication and collaboration skills.
